What Is Online Examination?

An online examination is conducted to measure the knowledge of the participants on a given topic. Instead of gathering everyone in a room, you share a link, and people take the exam on their own device – all they need is a browser and an internet connection. For anyone who trains other companies' staff, that's a real shift: instead of coordinating a room full of people, you send one link to your client's whole team, and the results come back graded. And because most online exam tools live inside a learning management system (LMS) like Easy LMS, you can build the exam, run it, and report on it all in one place.

Online exam vs. online examination: is that the same thing?

Pretty much. ‘Online exam,’ ‘online test,’ and ‘online examination’ all describe the same idea: questions answered online, scored into a result. ‘Examination’ just sounds a touch more formal.

For training and compliance work, treat them as interchangeable, though if you're curious, we've unpacked the difference between a test and an examination separately.

What is an online examination system?

Here's a distinction that's easy to blur but worth getting right:

  • An online exam is a single artifact: one set of questions, delivered once.

  • An online examination system is the platform that lets you build, deliver, manage, and report on exams over and over, for different groups, without starting from scratch each time.

For a one-off quiz, the difference doesn’t matter. But if you're running continuous education or compliance training for several clients, the system is the whole point. It's what lets you keep each client's participants separate, reuse your question bank across programs, and pull a clean report for each customer without having to untangle everyone's results by hand.

Put simply: a single exam tests one group once. A system lets you run testing as an ongoing service. That second thing is what training providers and consultancies need.

Who uses online examinations?

Anyone who needs to test a group of people, but a few types get the most out of it:

  • Training providers who sell training packages to other businesses and need to prove, client by client, that the learning has landed.

  • Consultancies running continuous education or compliance for their customers' staff, who need results they can pass straight into a report or dashboard.

  • Franchise trainers who keep standards consistent across locations, where every new franchisee and their team have to be onboarded the same way.

  • Product trainers teach customers and partners to use a product correctly, so it's used well, and support tickets stay low.

The common thread: they're all training someone else's people, and they all need to show their customers that the training worked. And that need shapes exactly what to look for in a system.

What to look for in an online examination system

Not all systems are built for the same job. If your work is training other organizations' employees, these are the features that earn their place roughly in order of how much they'll matter to you day to day.

Reporting and visual KPIs

This is the one to lead with, because it's what you show your customer. Good reporting turns "we ran the training" into "here’s proof your team learned it.'' Think of data like pass rates, scores, and progress that your client can see at a glance, whenever they want to look.

Group and participant management

You're rarely training just one team. You need to keep each client's people in their own space, assign the right content to the right group, and manage them all without them bleeding into each other. For a consultancy juggling several customers, this is non-negotiable.

👉🏼 Read more on how Easy LMS does this with academies: a separate branded portal for each client, franchise, or organization.

A question bank and offering varied question types

You need a platform that can handle multiple choice, fill-in-the-blank, and free text at a minimum. Different types of knowledge require different question formats; you can't assess everything with multiple-choice alone. Plus, you want to store your questions once and reuse them across exams and clients. When you're building similar compliance or onboarding tests repeatedly, a bank saves hours and keeps your content consistent.

Automatic grading

Every closed question grades itself instantly, so you're not marking exams by hand, and participants aren't waiting days for a result. (Free text answers still need a human eye, that's the one exception.)

👉🏼 Learn how Easy LMS can save you time with auto-grading.

Certification

A certificate at the end gives your client's employees proof of competence, and gives your client proof of compliance. For audit-heavy industries, that paper trail is often the deliverable.

Predictable, flat-fee pricing
When you train other companies' teams, per-participant pricing punishes you for growing because every new client's staff adds to the bill. A flat fee removes that ceiling: you pay one predictable price whether you're testing fifty people or five thousand, across as many clients as you take on.

Tick most of these boxes, and you've got a system that lets you train other companies' teams and prove it, at whatever scale you grow to.

Advantages and disadvantages of an online examination system

The short version:

Advantages

  • It saves paper, time, and money.

  • Distribution is a single email, and auto-grading removes the marking pile entirely.

  • Participants take the exam on their own schedule, from anywhere, and get their results instantly.

Disadvantages

  • You need an internet connection to run it since it's online.

  • An online setup can be a little more exposed to cheating, though a question bank and a few sensible settings handle most of it.

  • Free text questions still need manual grading.

How to create an online exam

Once you know what to look for, building the exam itself is quick. Here's how it works in Easy LMS:

  1. Start a new exam. Open the exam builder, give your exam a title, and write a short introduction so participants know what to expect. A live preview shows your changes as you make them, and you can match the look to each client's branding.

  2. Add your questions. Choose from seven question types – multiple choice, fill-in-the-blank, free text, image, and audio/video – and sort them into categories so you can later see exactly where knowledge gaps sit.

  3. Set the rules. Set your pass/fail mark and the number of attempts allowed, and add a time limit for the whole exam or per question.

  4. Schedule and share. Pick a start and end date, then share the exam via a link or an email invite. Give each client their own branded academy – a dedicated portal with its own URL – to keep every customer's participants neatly separated.

  5. Track and report. Results are graded automatically with a report per participant and visual graphs for each group. Export to Excel when you need to and let clients view their own results whenever they like.

That last step closes the loop: the clean, per-group results you hand your customer as proof their team learned what they needed to.
